Touring BBC Exhibition

We developed and implemented a suite of software solutions to support a high profile BBC touring exhibition as it travelled to museums in Liverpool, Edinburgh, New Zealand, and San Diego — all built using low-code tools in a matter of days rather than weeks.

Object lists

Created in just three days, this searchable, easy-to-use database held photos, insurance values, care information, and owner loan agreements. It became the foundation for:

  • Carnets and shipping manifests

  • Venue agreement

  • Insurance documentation

Condition reports

Delivered in days, this extension allowed museum staff to create condition reports directly on their phones — photographing objects and completing forms on the spot. The National Museum of Liverpool commented, “This has saved us days of work and is so efficient.”

Maintenance log

This centralised log enabled each venue to report and track maintenance issues throughout the exhibition’s six-month runs. Keeping everything in one place proved far more efficient and traceable than relying on email threads that could easily be missed.

On-site Scheduling & Management

Frustrated with the limitations of spreadsheets for on-site scheduling, we developed a series of apps that are far more fluid, accessible, and intuitive to use.

This system has been successfully deployed on large events in Miami, Austin, Carlsbad, and London. Depending on the project, it can track:

  • Detailed on-site schedules — down to the minute.

  • Trucking schedules - tied into the master schedule. No more updating two separate documents for each change

  • Crew meal requirements - information is then collated into a Pivot Table report which can be sent to the venue / catering manager.

  • Hotel allocations.

  • Flights and travel logistics.

All information is presented clearly and consistently, accessible from any device — phone, tablet, or desktop.

Schedules can be shared instantly via a simple website, and “snapshots” can be created to show only what’s relevant to a specific area or supplier.

Users have consistently said how much easier it is to work with compared to their old spreadsheets.

Venue Finding & Management

We are currently working with a touring exhibition management company, helping them match hundreds of contacts, exhibitions and clients - with venues across the globe.

Using AI and automations, users are notified when a possible venue becomes available for a particular exhibition - giving the company a huge competitive advantage and saving several hours of searching and admin a week.

Budget Management

On one long-term project running over six years, I needed a clear way to track spend, income, and supplier invoices — and to report regularly to the Commercial Director.

I could have used an off-the-shelf finance system, but instead I built my own using low-code software tools. This meant I could shape it precisely around how I work, rather than changing my process to fit the system.

Built in Airtable, the platform proved far more efficient than traditional spreadsheets and dramatically reduced the time needed to:

  • Create and update monthly cashflows

  • Approve invoices by matching them to purchase orders

  • Generate reports showing actual and forecast spend

The result was a transparent, accurate, and time-saving process — tailored perfectly to the project’s needs.
